Privacy Policy
This policy explains what personal information the RWA Society mobile app and admin portal collect, how it is used, who it is shared with, how long it is kept, and how you can have it deleted.
01 Who we are
The RWA Society app and this portal are operated by Residents Welfare Association Sector 15 Part-1, Gurugram, Haryana, India, which is responsible for the personal information described in this policy. The app is published under the name RWA Society.
02 Information we collect
All of the following is either provided by you or generated by your use of the app.
- Identity and contact
- Name and title, date of birth, registered mobile number, email address where provided, and the one-time codes used to sign you in.
- Residence
- House and block number, floor, ownership type, plot size, number of floors, and the date you began residing in the society.
- Membership
- Owner or tenant status, membership number, profession and occupation details, and joint owner name where applicable.
- Household
- Number of people in your household, including counts of adults, senior citizens and residents under 18, and counts of domestic staff by role.
- Emergency contact
- The name, relationship, mobile and landline number of the person you nominate as your emergency contact.
- Vehicles
- Vehicle details registered against your household.
- Photographs and documents
- A profile photograph and any supporting attachments you upload to your member record.
- Requests and payments
- Grievances you raise, their category, description and status, and records of dues and payment references against your flat.
- Technical
- Push notification tokens, device information and diagnostic logs may be processed when notification or crash-reporting services are enabled in the mobile app.
03 How we use your information
- To verify that you are a resident of the society and to approve your registration
- To maintain the resident directory and make it available to other residents, subject to your sharing preference
- To record and track maintenance and membership dues against your flat
- To receive, route and resolve the grievances and requests you raise
- To send you notices, event information and administrative messages by push notification
- To make emergency and community contact information available to residents
- To diagnose crashes and improve the reliability of the app
We do not use your information for advertising, and we do not sell it.
04 Who we share it with
We share personal information only in the circumstances below.
- Other residents. Your name, house number and contact details appear in the resident directory only where you have agreed to share them. Household details, domestic staff information, emergency contacts, uploaded documents and payment records are never shown to other residents.
- The society's admin team. Authorised office staff can see the records needed to verify residents, handle requests and record payments.
- Notification and diagnostics providers. If enabled in the mobile app, push notification and crash-reporting services process technical data as service providers.
- OTP delivery provider. Your mobile number may be passed to the configured OTP or SMS gateway provider in order to deliver your one-time sign-in code.
- Where the law requires it. We may disclose information if we are legally obliged to do so.
We do not sell personal information or share it with advertisers or data brokers.
05 Information about other people
When you record an emergency contact, domestic staff or other members of your household, you are giving us information about people other than yourself. Please only provide these details where you are entitled to do so, and let those people know their details are held in the society's records. We use this information solely for society operations and emergency readiness, and it is not published in the resident directory.
The app records only the number of residents under 18 in a household. It does not collect names or any other details about children, and the app is not directed at children.
06 How we protect your information
- Sign-in uses your registered mobile number and a one-time code.
- The app can be locked with a PIN or your device's fingerprint or face unlock.
- Records stored on your phone may be held in an encrypted database.
- All traffic between the app and our servers should be encrypted using HTTPS on the live service.
- Access to the admin portal is restricted to authorised society staff.
- Data is stored on servers located in India, hosted on the society's configured web hosting infrastructure.
07 How long we keep it
We keep your resident record for as long as you are a member of the society. When you leave, or when your deletion request is processed, your personal details are normally removed or de-identified within 30 days.
Some records may be retained where the society is required to keep them, including payment, dues, audit, security, dispute or legal records. Retained records are limited to what is necessary for that purpose.
08 Your rights
- Access. You can view the information held about you in the My Profile section of the app.
- Correction. You can edit your household record in the app; changes are reviewed by the admin team before they are published to the directory.
- Sharing preference. You control whether your contact details appear in the resident directory.
- Deletion. You can request deletion of your account and personal information at any time, as described below.
09 Deleting your account and data
You can request deletion in either of two ways:
- Inside the app - open My Profile, scroll to the bottom, and choose "Delete my account". You will be asked for a brief reason.
- On the web - use the account deletion page, which does not require the app to be installed.
Once a request is submitted, sign-in is disabled and the request is reviewed by the admin team. On processing, your profile, household details, contact information, uploaded photographs and documents, emergency contact details and tenant records are deleted or de-identified where legally possible.
Payment, dues, audit, security, dispute and legal records may be retained where required for society operations, accounting, security, legal compliance, or dispute resolution.
Deletion requests are normally completed within 30 days.
10 Permissions the app asks for
- Camera and photo library - only when you choose to attach a photograph to your record or a request.
- Notifications - to deliver society notices and updates about your requests.
- Fingerprint or face unlock - only if you choose to lock the app with biometrics. Biometric data never leaves your device and is never sent to us.
11 Changes to this policy
If we change how we handle your information we will update this page and revise the date shown at the top. Where the change is significant we will notify residents through the app.
